Business Structure Requirement & Tax

You must operate through a limited company to work with ServiceSync.

We cannot work with sole traders or individuals operating under self-employment. This requirement protects both parties by ensuring clear business-to-business relationships and avoiding any employment status complications.

If you're currently a sole trader and interested in joining ServiceSync, you'll need to set up a limited company first. It's straightforward and relatively inexpensive—most accountants can help you do this, or you can register directly with Companies House.

Operating as a limited company also demonstrates you're running a professional operation, which aligns with our quality standards.

Self-Billing

We operate a self-billing system, which means we generate invoices on your behalf after each completed job. This simplifies your admin—you don't need to raise invoices for ServiceSync work, and you receive clear documentation for your accounts.

When you join ServiceSync, you'll sign a self-billing agreement authorising us to issue invoices in your name. If you're VAT registered, we'll include VAT on these invoices as required. You'll receive copies of all invoices along with your payments (and in some cases we'll push the invoice details to your accounts software directly).

You'll need to notify HMRC that you've entered into a self-billing arrangement (this is a simple notification, and we'll provide guidance on how to do this).

Construction Industry Scheme (CIS)

If your trade falls under the Construction Industry Scheme—including plumbing, electrical work, and general building services—we will make the required tax deductions at source as per HMRC requirements.

CIS-registered subcontractors typically have 20% deducted, which we pay directly to HMRC on your behalf. You'll receive monthly statements showing these deductions for your tax records.

Some services, such as external cleaning services (window cleaning, gutter clearing, pressure washing), are not subject to CIS and no deductions will happen.

Common Questions

How much work will I actually get?

This depends on demand in your area and your availability. We're starting in Evesham and expanding as we grow. We can't guarantee volume initially, but our goal is to keep quality tradespeople consistently busy.

What if I already have regular customers?

Perfect. We're not asking you to replace your existing work—we're giving you a way to expand capacity efficiently. Many of our tradespeople use ServiceSync to fill gaps in their schedule or take on additional work without the admin burden.

Can I set my own availability??

Yes. You control when you're available to work. We coordinate jobs around your schedule.

What happens if a customer isn't satisfied?

We handle all customer complaints and resolution. If the issue is legitimate, we'll work with you to put it right. If a customer is being unreasonable, we deal with it—you won't be put in the middle.

Do I need special equipment or software?

You'll need a smartphone to access our platform, receive job details, and upload completion photos. We provide simple tools that don't require technical expertise.

What about payment disputes?

Customers pay us upfront, so there's no risk of non-payment for completed work. We pay you within 7 days of job completion, regardless of whether the customer is satisfied.

The only circumstance where payment wouldn't be processed is if a customer disputes that the work was done at all, and you haven't provided the required before-and-after photos. This is why photo documentation is mandatory—it protects both you and us from false claims.

If there's a legitimate dispute about the quality of work (not whether it was done, but how well it was done), we still pay you for the completed work and handle the resolution separately under our guarantee.
